DMEA - Corona Updates

With Distance the Safest DMEA

On April 13, 2021 the DMEA 2021 opens its six halls with program and trade fair. The entire DMEA team ensures the optimal holding of the event and its compliance with the applicable laws. That`s for sure!

In coordination with the relevant public health authorities Messe Berlin has developed a comprehensive safety and hygiene concept. The concept is based on the following principles: hygiene, physical distancing and contact tracing.

We call on everyone`s personal responsibility, to be aware of the distance rules and a `No-Handshake-Policy`.

Important Information About the Hygiene and Safety Concept at Messe Berlin

  • ncreased cleaning cycles for communal facilities and contact areas (e. g. door handles, glas elements, other areas)
  • High density of hand washing and hand disinfection options at entrances, information stands and catering points.
  • Compliance with strict and increased cleaning cycles for communal facilities and contact areas.
  • All sanitary facilities will increasingly subjected to surface disinfection, and the soap dispensers will also constantly refilled and disinfected.

In order to be able to trace and localise possible infections and in compliance with the legal provisions, information will be collected on all participants. For contact tracing purposes this will take place either during ticket registration or at the latest upon admission. Entrances and exits are to be kept separate if possible.

There will be continuously information flow before and during the fair about necessary infection protection measures which need to be to be followed by everyone at the fair.

In order to allow everyone to keep a distance of 1.5 meters, we will create additional space, including:

  • Wider aisles
  • Access restrictions for halls and areas
  • Limited seating in front of the stages
  • Meeting areas only for exhibitors

… in our Halls

  • The optimized control of the ventilation systems in all rooms and halls during the events is comprehensively ensured by the air conditioning systems (RTL-System) from Messe Berlin. This ensures sufficient air change rates / drying with the highest possible proportion of supply air (depending on outside weather / temperature). According to current virological assessments, the risk of aerosol virus transmission can thus be reduced to a minimum.
  • The outdoor area around the halls is included more than usual, e.g. for catering areas / outdoor networking etc.
  • In order to ensure contact tracking, access to the site is only possible with prior online registration - this also applies to the stand construction and dismantling times.
  • The contact details and presence times of service providers, employees and other people will be recorded by Messe Berlin during the entire event, including stand construction and dismantling times. However, the data will only be made available to the responsible health department upon official request. They are processed in accordance with data protection requirements and deleted four weeks after leaving the venue.
  • The responsibility for collecting visitor data on the stand area lies with the exhibitor themselves. For this, it is recommended to use Scan2Lead (to be ordered via the BECO online shop). The contact details and presence times of all those present must also be recorded here. These are to be transmitted to the health authorities on request and, according to applicable data protection law, must also be stored for four weeks and then deleted.
  • Data must be only recorded with visitors with whom you have a conversation lasting several minutes. Short contacts, for example if you only take an information brochure with you, do not have to be recorded.

Information for Stand Construction and Trade Fair Planning

  • Data must be recorded for all employees on the exhibition grounds during the stand construction and dismantling times. This means that stand personnel, suppliers and other service providers also receive vouchers for the stand construction and dismantling passes, which they have to personalize!
  • The stand construction personnel should be assigned a "fixed location", so do not switch between different halls / stands
  • Please check whether less parallel work is possible through equalization over time
  • Please also note the generally applicable information from the FAMAB trade association
  • Take into account the minimum distance to the hall aisles for reception counters and presenting exhibits.
  • Install exhibits and presentation areas (e.g. LED-walls) to ensure that visitors can observe minimum distancing and that gatherings can be avoided
  • Spaces that are covered above are not recommended. Rooms frequented by visitors should feature an open-plan design to enable an adequate exchange of air, at minimum thorough ventilation of the room.
  • Ensure adequately dimensioned areas for breaks and visitors.
  • Ensure generously sized seating areas and meeting rooms.
  • Install partitioning as a hygiene precaution where minimum distancing of 1.5 m is not possible.
  • Provide hand sanitizer on the stand, and if necessary disposable face masks.
  • Items and areas such as counters, tables and door handles where physical contact takes place should if possible be avoided. Partitioning is advised in order to maintain distancing.
  • We also request that as an exhibitor you name an employee to act as the contact responsible for ensuring hygiene and distancing rules are observed.
  • Taking into account the requirements of DEHOGA and BGN + Infection Protection Act, visitors can be served on the stand
  • Multiple food collection points must also be organized to avoid larger gatherings. If this is not feasible spatially then table service is to be allowed only.
  • A minimum distance of 1.5 m between the seats of one table and those of the next table must be observed. Currently groups of up to two people at one table may be seated less than 1.5 apart. HOWEVER, this only applies to the consumption of food and beverages and not to the seminar and conference areas, including meetings and workshops. Time spent in the seated catering area should therefore be restricted to eating and drinking only. Face masks may be removed on this occasion.
  • Only packaged food can be offered in self-service
  • Taking into account the requirements of DEHOGA and BGN + Infection Protection Act, visitors can be served on the stand
  • The catering staff must wear a face mask

As in previous years, you can cancel your participation after registering for the stand as long as you have not received a down payment, which we will send from 15 February. Cancellation fees only apply after this, if necessary a processing fee of 400 euros will be charged.

If we as the organizer cannot hold DMEA for reasons outside our own control, we will not charge our exhibitors for their stand rental. Your stand rental payment would then be returned to you or at your request brought forward to the next edition. Please refer to our General Terms of Business for Trade Fairs and Exhibitions organized by Messe Berlin GmbH.

Once you received the down payment invoice and order confirmation, our cancellation policy comes into force. From that moment on, if you want to cancel your participation, you must notify us as soon as you make the decision not to attend. This gives us the opportunity to look for another company for your space. If we find another (previously non-registered) exhibitor for your space, then as organizers we will only invoice you 25 percent of the total amount due to compensate us for the additional costs. If we do not find another exhibitor for the space, then you will be liable to pay your rental fees in full amount

We are confident that DMEA 21 will take place. We are in constant contact with the responsible authorities and pass this information on to our exhibitors and fair visitors in a timely manner. In cooperation with the authorities, we make every effort to realistically assess the situation and to communicate any cancellation of the fair in good time in order to avoid additional costs..

If the cancellation takes place due to official travel restrictions in the country of origin or in Germany and the travel restrictions make the entry impossible or unreasonable for the exhibitor, the exhibitor will not be charged or the stand rental fee will be refunded. Unacceptability shall be assumed if the return to the country of origin would be impossible or would require a quarantine of more than 7 days after return or if the entry to Germany would require a quarantine of more than 7 days. Proof of travel restrictions in the country of origin must be provided to Messe Berlin by means of suitable documentation.
